Indirect Letter Assignment Background You are the Manager (BUS, BA, PM) of Oak International. As the Manager of your division, you oversee a team of highly skilled employees, and you oversee all work based on a client’s needs. Your job is to ensure complete customer satisfaction. The Client and the Project: The client, Alpha Corporation Inc. (President Michele Gaboury), required your team to create a detailed analysis, outlining problems, opportunities, and solutions for their proposed new technology department. The end goal was for you and your team to provide recommendations and plans that would help Alpha’s decision-making process and align capital and resource allocation within the client’s budget. Once approved, your team would manage the project. The project started off well and your team was eager to get the job done. Situation Over the course of the project, the client wanted new requirements for this proposed department. In one instance, a couple of new and complex technical features were introduced. Each feature impacted the client’s budget and required your team to re-configure the analysis and implementation as the changes not only impacted the proposed tech department but others as well . For example, the most recent change/request was to create interdependency between Alpha’s new tech department and its other departments. The analysis/project methodology adopted by yourself, based on the original approved plans, was just not suited for such a high degree of dynamic changes. It was too late in the project to start a new analysis to produce a different solution and then implement within the budget and deadline set by the client. This was turning out to be a nightmare for Oak International. With the team already working overtime to incorporate earlier changes, you concluded that it would be impossible to incorporate the latest requirements without compromising the budget and deadline set by Alpha . Assignment Accordingly, you must inform your client about the reasons for the challenges and the issues impacting their project. Note: While a phone call or meeting would be the best channel to use in this kind of scenario, this week is a ‘letter’ Module.
Accordingly, in proper format you will create a letter to advise the client of the reasons for this situation and of the possible alternatives for them to consider and choose. Only give reasons that are clear and focused, and that will be understood (even if not liked) by the client. The reasons should result in acceptance of both the reasons and the alternatives provided by you and your team. Be very aware of your tone in the letter…you do not want to risk losing this client. Recently, I was analyzing the project's budget and schedule, trying to find a way to include the new and sophisticated technological elements that had been requested. Unfortunately, each of the additional technological features introduced has had an influence on the budget. The team had to re-configure the analysis and implementation because the adjustments affected not only the planned tech department but also others. We are particularly troubled by the attempt to establish interdependence between Alpha's new technology department and its other divisions. Based on the initial authorized plans, the analysis technique I used is simply no longer suitable for such a high degree of dynamic change. It is too late in the project to begin a new study to develop an alternative solution and then implement it within the client's budget and timeline. With the team already working overtime to absorb earlier revisions, I've concluded that including the latest needs would be difficult without jeopardizing the budget and schedule we originally discussed.
